Privacy Policy

Frieze Protocol receives very little personal information, and this page states what, why and for how long. It is written for the people who write to us about hotel, guesthouse and short-stay properties.

1. Who is responsible

This policy covers the website friezeprotocol.com and the way Frieze Protocol handles personal information received through it. The operator of Frieze Protocol is the business that handles this information. The operator’s name is not printed on the site; it is given on request, as the Commercial Notice explains. The contact address is 4-11-11 Imamiyacho, Kanuma, Tochigi 322-0068, Japan.

Questions about this policy can be sent to info@friezeprotocol.com or by phone to +81 289-26-4877.

2. What we receive

3. Why we use it

We use what you send to answer your question, to check whether your check-out to check-in window can hold the rooms you describe, and, if you go ahead, to prepare a written quote and agree the work. We do not use it for advertising to you unless you have asked to hear from us again, and we do not sell it or rent it.

4. Cookies, analytics and third parties

The site does not set cookies, does not write to your browser’s local storage, does not run analytics or advertising tags and does not load fonts, scripts, maps or images from other servers. The Cookies page lists exactly what the pages do. The server that delivers the site may keep ordinary access logs; these are kept by the hosting provider and are not matched with your messages.

5. Sharing

We share personal information only when it is needed to do what you asked, when the law requires it, or when you tell us to. If you book linen handling, the laundry you choose receives the linen, not your contact details, unless you ask us to introduce you. We do not transfer information to any other business for its own use.

6. Service records

A turnover record contains photographs of rooms and fittings with a date and time. We do not photograph people. Any guest belongings that happen to be in a room are left in place and reported to the property operator. The property operator, not Frieze Protocol, remains responsible for the personal information of its own guests.

7. How long we keep it

Messages that lead to no work are kept for as long as needed to answer them and a reasonable period afterwards, then deleted. Records of agreed work are kept for as long as the agreement and the accounts of the work require. You can ask us to delete a message at any time; we will do so unless the law requires us to keep it.

8. Security

We keep correspondence on devices and accounts protected by passwords and limit access to the people who answer enquiries. No method of sending information over the internet is entirely secure. If you would rather not put details in a message, a phone call is a fair alternative.

9. Your rights

Under the Act on the Protection of Personal Information (個人情報の保護に関する法律) you may ask for disclosure of the personal data we hold about you, for correction of data that is wrong, and for use to stop or for data to be deleted in the cases the Act provides. Write to info@friezeprotocol.com from the address you used and say what you want. We may ask you to confirm who you are before acting, so that we do not give your information to someone else.

10. Links

The site links to no external service that matters for this policy. If a page you reach from here belongs to someone else, that site’s own policy applies to it.

11. Changes

If we change how the site or the service handles personal information, this page is updated first and the date below changes. Last change: 27 October 2026.
